Who we are
FPM Billing (https://billing.fpmllc.com) is a private billing tool provided by Christy Professional Group, LLC ("we") to First Petroleum Management, LLC (FPM Hauling) ("FPM"). It is used only by people FPM authorizes. This policy explains what information the tool handles, why, and the choices FPM has.
What we collect
- From FPM's QuickBooks Online company, once FPM connects it: customers, invoices and products (items), including names, addresses, invoice dates, quantities, rates, amounts and the tracking number (BOL).
- Entered in the tool by FPM: rates, rate lists, surcharges, billing-file settings, and email addresses for distributors and alerts.
- Sign-in details: each user's email address and a password stored only as a one-way hash, plus a record of who changed what and when.
We don't collect payment card or bank details, and we don't use tracking or analytics tools.
How we use it
Only to run the service for FPM:
- to price invoices in FPM's QuickBooks with FPM's own rates and save them back;
- to build billing files and send them to the distributors FPM chooses;
- to show FPM what needs attention, and to send FPM its morning and alert emails;
- to keep the service secure and working, and to fix problems.
We never sell any of this information. We don't use data from QuickBooks for advertising or marketing, and we don't combine it with data from anywhere else.
Who it's shared with
- FPM's distributors receive the billing files FPM sets up for them (by email or by uploading to their file server), which contain their own invoices.
- Service providers that run parts of the service for us, under their own security and privacy commitments: Supabase (database and sign-in), Netlify (hosting), Resend (email), Intuit (QuickBooks Online), the US Postal Service (address checks), Healthchecks.io (monitoring, which receives no customer data) and GitHub (the nightly off-site backup copy).
- When the law requires it.
Where it's kept and how it's protected
Information is stored and processed in the United States. It is encrypted at rest. The tool and its connections to our providers use encrypted connections (HTTPS). QuickBooks access keys and file-server passwords are kept in an encrypted secret store. Every table has access rules, and every change is recorded in an activity log.
Billing files reach distributors by email or by upload to their file server. If a distributor's server only accepts plain FTP, those files travel unencrypted; secure file transfer (SFTP) is used whenever the distributor supports it.
If we learn of a data breach affecting FPM's information, we'll tell FPM promptly and as the law requires.
How long it's kept
At FPM's choice, the service keeps its billing history for as long as FPM uses the service. The activity log, which records who changed what and when, is permanent: it can't be erased, even on request. Backups expire after 30 days.
When the service ends, we give FPM a copy of its information and then delete it from the service within 30 days, unless FPM asks us otherwise in writing. Backups then expire on their normal schedule.
FPM's choices
- Disconnect QuickBooks at any time, in the tool's settings or in QuickBooks Online's list of connected apps. We then stop reading from or writing to FPM's QuickBooks company.
- Ask us for a copy of FPM's information, to correct it, or to delete it, by emailing fpmpayables@gmail.com. We'll delete what we can; the activity log and unexpired backups are the exceptions described above.
Cookies
The tool uses cookies only to keep a user signed in (up to 30 days on a device the user marks as remembered). There are no advertising or tracking cookies.
Children
The service is a business tool and is not meant for children. We don't knowingly collect information from anyone under 16.
Changes to this policy
We'll update the date at the top of this page when the policy changes, and tell FPM about any important change before it takes effect.
